Our Get a Quote form currently asks for:

Name, Email, WhatsApp/Phone, What do you need, Number of deliverables, Budget range and Reference link.

This information is used to understand your enquiry, contact you, discuss your project and prepare an appropriate quotation.

Information submitted through the form may be stored within our website/WordPress systems and may also be sent to our official business email:

We may also send an automated confirmation email to confirm that your enquiry has been received.

Authorised EditoreX team members who require access for legitimate business purposes may access these submissions.


5. Communication With Clients

We may communicate with prospective or existing clients through:

Clients may send project files through different methods, including Google Drive, Dropbox, WeTransfer, WhatsApp, Telegram, or another mutually agreed method.

EditoreX may process these materials for purposes such as:

  • Creating motion graphics
  • Reviewing revisions
  • Delivering the project
  • Providing project-related support

Project materials will only be accessed by EditoreX, authorised team members, and production partners who reasonably require access to complete the relevant work.


7. Freelancers and Production Partners

EditoreX may work with freelance editors, designers and other production partners to complete client projects.

Where reasonably necessary, relevant project materials and information may be shared with these individuals or providers so that they can perform their assigned work.

EditoreX expects such production partners to:

  • Keep client information confidential
  • Use client materials only for authorised project work
  • Not independently publish or distribute client materials
  • Protect the information and files made available to them

Freelancers do not automatically receive access to general client enquiry data. They receive only the information reasonably required for their assigned work.

EditoreX may use third-party software, online services and AI-assisted tools as part of its production workflow.

Depending on the project, such tools may be used for:

Where necessary, relevant project material may be processed through such services.

We do not commit to using one specific AI or software provider for all projects. The tools used may change depending on the project’s requirements.

Third-party services may process information according to their own privacy policies and terms.

For confidential or specially restricted projects, EditoreX will take the agreed confidentiality requirements into account.


9. Analytics and Advertising Technologies

EditoreX may use analytics and advertising technologies in the future, including tools such as:

11. Calls and Meeting Recordings

EditoreX may record certain client calls or online meetings where recording is reasonably necessary for:

  • Understanding project requirements
  • Clarifying instructions
  • Maintaining an accurate project record
  • Confirming approvals
  • Quality control
  • Resolving project-related questions

Where a call or meeting is recorded, participants will be informed that recording is taking place.

For completed projects, such recordings may be retained for up to 30 days after project completion and full and final payment, after which they may be deleted, subject to applicable legal or contractual requirements.


12. Project File Retention

EditoreX may retain project-related files, including working files and final exported files, for up to 30 days after the relevant project has been completed and full and final payment has been received.

After this period, such files may be permanently deleted.

Clients are responsible for maintaining their own copies and backups of final deliverables.

Once files have been deleted after the applicable retention period, EditoreX may not be able to recover or restore them.

Where a legal, accounting, contractual, security or dispute-related requirement requires information to be retained for longer, the relevant information may be retained for that limited purpose.


13. Re-Delivery of Completed Files

Previously delivered final files may be re-sent without additional charge for up to 30 days after final delivery, subject to file availability.

Re-delivery means providing the same previously delivered file again.

Requests for new creative work are separate.

For example, the following may be treated as new chargeable work:

  • Turning a long-form video into new Shorts/Reels
  • Creating a new edit
  • Creating a new creative version
  • Creating a new aspect ratio for a new use
  • Creating additional thumbnails or deliverables

14. Portfolio and Promotional Use

Unless a client specifically asks otherwise, EditoreX may showcase completed client projects on its:

  • Website
  • Portfolio
  • Social media
  • Showreel
  • Presentations
  • Other promotional materials

Where appropriate, EditoreX may also display the client’s name, brand name or logo together with the showcased work.

A client who does not want their project, name, brand or logo used for promotional purposes may contact:

and request that the relevant material not be showcased or be removed from EditoreX’s promotional channels.

Specific confidentiality or contractual restrictions will take precedence over this general portfolio practice.


15. Confidential Projects

If a client specifically requests confidential handling of a project, EditoreX may agree to additional confidentiality restrictions or enter into a separate confidentiality/NDA arrangement.

Projects subject to such agreed restrictions will be handled according to the applicable confidentiality terms.


16. Payments

EditoreX does not currently accept payments directly through the website.

After project scope and pricing are agreed, payment may be arranged separately.

Indian clients

Payments may be made through:

  • UPI
  • Bank transfer
  • Other mutually agreed Indian payment methods

International clients

Payments may be made through:

  • PayPal
  • Other mutually agreed payment methods where available

EditoreX does not currently collect or store card details through the website.

Payment providers may separately process payment-related information under their own privacy policies and terms.

EditoreX may retain basic payment/business records such as payer name, amount, transaction date, payment reference and payment status where reasonably necessary for accounting, project and business records.


17. Data Retention for Enquiries and Business Records

Quote and enquiry information may be retained for as long as reasonably necessary to:

  • Respond to the enquiry
  • Follow up with a potential client
  • Maintain an existing client relationship
  • Maintain appropriate business records
  • Handle future project discussions
  • Resolve disputes
  • Comply with legal or accounting requirements

When the information is no longer reasonably required for these purposes, it may be deleted or securely disposed of.


18. Requests to Delete Personal Information

We will review and process eligible requests and, where appropriate, delete or securely dispose of the relevant information.

Some information may need to be retained where required for legal, accounting, contractual, security, dispute-resolution or other legitimate business purposes.

EditoreX does not intentionally target its services or marketing toward individuals under 18 years of age.

If an enquiry is received from a person under 18, EditoreX may require appropriate parent or legal guardian involvement before proceeding with onboarding or providing services.

EditoreX does not currently provide user accounts, usernames or passwords through its website.

The website is primarily used to provide information, display our work, receive enquiries and facilitate communication about projects.

The Last Updated date at the beginning of this document will be updated when material changes are made.
